Zoom Best Practices

Prerequisites for installing and removing apps from Zoom Marketplace

  • Zoom account for installing apps
  • The account owner or admin privileges to install/remove an app and pre-approved users to install the app by themselves.

 

How to search and install an app from Zoom App Marketplace

  1. Sign in to the Zoom web portal as an administrator.
  2. In the navigation panel, click Advanced then App Marketplace.
  3. On the top right of the page, type the name of the app you are looking for or search by:
    • Selecting a category under Categories.
    • Filtering the apps by compatibility, approval state, and who can install.
  4. Click Add or Visit Site to Add.
    Notes:
    • If the app requires a click on Visit Site to Add, click on Install on Zoom afterward.
    • If you are a user and the app was not pre-approved by your admin to be installed, click Request to Install. A request will be sent to your admin on your behalf for approval.
    • If you are an admin and want to pre-approve the app for users of your account to install apps themselves, follow these instructions.
  5. Review the app information then, click Authorize.
  6. (Optional) To verify the app was added to your account, on the top right of the page click Manage, then under the PERSONAL APP MANAGEMENT section, click Added Apps.

 

How to uninstall/remove an app from Zoom App Marketplace

  1. Sign in to the Zoom web portal as an administrator.
  2. In the navigation panel, click Advanced then App Marketplace.
  3. On the top right of the page, click Manage.
  4. On the left side of the page, click Added Apps.
  5. Identify the app to be removed then, click Remove.
  6. In the Remove app pop-up window, choose your reason, then click Remove.

How to pre-approve an app for installation

Owners and admins can follow these pre-approving apps instructions for their users to install and use apps.

  • Owner or admin privileges for configuring pre-approval

 

How to configure pre-approval

To have more control over integrations used by members of the account, an admin can require pre-approval of apps before they can be installed. The admin can pre-approve apps that are already cleared for use, or members of the account can request approval, which will notify admins of the request. 

By default, any single-user account that has not yet accessed Marketplace has pre-approval disabled, whereas multi-user accounts that have not yet accessed Marketplace have pre-approval enabled. Single-user accounts will be reminded of pre-approval settings upon adding an additional user(s). 

Note: You can follow these instructions to search for apps from Marketplace.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Advanced, then App Marketplace.
  3. In the top right corner of the page, click Manage
  4. In the ADMIN APP MANAGEMENT section, click Permissions.
  5. In the Publicly listed apps section:
  6. Click the Require publicly-listed apps on the Zoom App Marketplace to be pre-approved for your users, toggle to enable or disable it
  7. If a verification dialog displays, click Turn On to verify the change.
  8. (Optional) Select the Allow publicly-listed apps created by Zoom to be installed without admin pre-approval checkbox to exempt Zoom-created apps from pre-approval by an admin.
  9. (Optional) Select the Allow publicly-listed apps created by users in your account to be installed without admin pre-approval checkbox to exempt apps created by a member of your organization from pre-approval by an admin.
  1. In the Unlisted apps box:
    • Click the Require unlisted apps on the Zoom App Marketplace to be pre-approved for your users toggle to enable or disable it. 
    • If a verification dialog displays, click Turn On to verify the change.
    • (Optional) Select the Allow unlisted apps created by Zoom to be installed without admin pre-approval checkbox to exempt Zoom-created apps from pre-approval by an admin.
    • (Optional) Select the Allow unlisted apps created by users in your account to be installed without admin pre-approval checkbox to exempt apps created by a member of your organization from pre-approval by an admin.

Note: If pre-approval of Zoom Apps is disabled, users on your account will be notified of the updated permissions to use Zoom Apps. This notification requires version 5.9.6 or higher. 

 

How to pre-approve individual apps 

If owners or admins require pre-approval, they can still search for apps in the Marketplace and individually pre-approve them. Once an app is pre-approved, it can be installed by other users on the account.

Note: If you have not approved an app in the App Marketplace, users on your account can request to install the app. If this occurs, you will receive an email from noreply@Zoom.us with further details.

  1. Sign in to Marketplace as an admin or owner. 
  2. Search for an app and click on the icon to select it.
  3. In the App permissions section, click the toggle. 

 

  1.  To enable Approve use of this app.
    • Click Add users, then select Add an individual user or Add a user group.
    • Type the email of the user or the name of the group then, click Add.
    • By default, All users on this account are selected to pre-approve all users in the account.
    • (Optional) Select Specific users or user groups on this account if you would like to instead pre-approve the app for certain users or groups.

Notes:

  • A combination of individual users and user groups can be given access to a pre-approved app.
  • When a Zoom App is pre-approved for users and/or groups of users, they will be notified of the pre-approval to use this Zoom App.

Review existing pre-approvals

You can review your already pre-approved apps for your account. To view all apps that have accessed data in the past 30 days, use the Active Apps Notifier Report to review recently active apps. 

  1. Sign in to Marketplace as an admin or owner. 
  2. In the top-right corner of the page, click Manage.
  3. Under the ADMIN APP MANAGEMENT section, click Apps on Account
  4. Click the Pre-approved Apps tab to review a list of apps you have pre-approved.
  5. (Optional) If you want to change the permissions on who can install the app, click the pencil icon to make the change.
  1. (Optional) If you desire to disable the app for your users, click on the toggle under Action.

Approve or decline app requests

Admins and owners can manage all open pre-approval requests. Each request sends admins an email from noreply@Zoom.us with further details. 

  1. Click Manage.
  2. Under the ADMIN APP MANAGEMENT section, click App Requests
  3. Select the Active requests tab, then click on the app to approve.
  4. In the Requests tab of the app, select Approve or decline for all users on the account or Approve or decline for specific users who requested to install this app.
  5. Click Approve or Decline.

How to pre-approve an app for installation

Owners and admins can follow these pre-approving apps instructions for their users to install and use apps.

 

Installing the Zoom application on macOS

The instructions below cover installing the Zoom application on macOS. To install Zoom or Zoom Rooms on your Mac computer, you may need to change your Security and Privacy settings to allow for apps downloaded from identified developers. 

 

Permissions to install

  1. Click on the Apple Icon at the top left corner of your screen. Choose System Preferences.


Click on Security & Privacy.

 

Click the lock icon at the bottom left to have access to make changes

 

 

  1. Enter your computer administrator's username and password.
  2. Change Allow apps downloaded from: to App Store and identified developers


Note: For Mac High Sierra (10.13.x), you will need to click on Allow too.

 

Click the lock icon again to prevent any further changes.

 

Installing the Zoom application

  1. Visit our Download Center.
  2. Under Zoom Client for Meetings, click Download.
  3. Double click the downloaded file. It is typically saved to your Downloads folder.

 

Once the installer opens, click Continue.

 

 

  1. Choose the destination for installation:
    • Install for all users of this computer 

  • Note: This requires administrator credentials to install for all users on the device. 
  • Install for me only

  1. Click Continue.

(Optional) If you want to change the destination of the installation choose Change Install Location.

 

  1. Click Install.

(Optional) If you choose to Install for all users of this computer, enter the administrator credentials for the device.

 

  1. Click Install Software

Once the installation is complete, click Close.

 

 

Zoom application permissions

Due to increased security and permissions with Mac OS 10.14 Mojave and 10.15 Catalina, you will be prompted to authorize the Zoom desktop client to use the microphone, camera, and on Mac OS 10.15 Catalina, screen recording. The permissions are set within System Preferences of the device

 

Overview

Our solution offers the best video, audio, and wireless screen-sharing experience across multiple platforms. Follow this article to learn about the basic features of the Zoom client on Windows and Mac.



Sign in and join

After launching Zoom, click Join a Meeting to join a meeting without signing in. If you want to log in to start or schedule your own meeting, click Sign In.

 

To sign in, use your Zoom, Google, or Facebook account. You can also log in using SSO. If you don't have an account, click Sign Up Free. If you have a Zoom account but cannot remember your password, click Forgot.

 

 

 

  • Add a personal note.
  • Settings: Access settings you can change in under the client.
  • Change your status to AvailableAway, or Do Not Disturb.
  • My Profile: Open the Zoom web portal to edit your profile.
  • Try Top Features: Opens a webpage detailing some of our most used features.
  • Help
    • About Zoom: Provides info about the Zoom client you currently have installed, as well as other relevant company info. 
    • Help Center: Opens the Zoom Support site
    • Report a Problem:... Send Zoom a problem report 
  • Check for Updates: Check if Zoom is up to date.
  • Switch to Portrait View: Switch the Zoom window to portrait view if you prefer a narrower window.
  • Switch Account: Used to quickly switch between multiple accounts 
  • Sign out
  • Upgrade to Pro (if you are on a free account)

Chat

Select the Chat tab to view private conversations with your contacts or group conversations in chat channels.


You can access these features in the left-side panel:

 

  • Jump to search box: Search for a contact or channel.
  • < > : Allows you go back or forward between recently used chat windows. 
  • Starred Messages: View messages you have starred.
  • Contact Requests: View recent contact requests you have received from other Zoom users. 
  • All Files: View files you have shared in chats, all files you have access to within chat, and any saved Whiteboards from meetings. 
  • Click your name to use your personal chat space.
  • Add icon.

 

Select a contact to view chat history and continue to chat with them. Contacts have a status icon before their name.

 

Select a channel (indicated by the group icon before the name) to view the channel's chat history and send messages to channel members.

 

After selecting a contact or channel in the left-side panel, you can use these features in the chat window:

 

 

 

Star icon: Add the contact or channel to your starred list, giving you quick access to those contacts or channels. Starred contacts or channels will be listed between your personal chat space and the Recent section, for quick and easier access.

Video icon: Start a meeting with the contact. If a channel is selected, this will start a meeting with all members of the channel. Click the ˅ next to the icon to select if you want to Meet with video or not. 

Phone icon: Start a phone call with the contact. Only available if you have access to Zoom Phone

  • New window icon (Hover your pointer over the contact or channel name to display this icon) : Open the selected chat in a new window.
  • Info icon: View additional options for the contact or channel. Also gives you quick access to files, images, and starred messages in the selected chat.

 

Phone

Select the Phone tab to make phone calls, view call history, and play voicemail messages using Zoom Phone.

Note: Zoom Phone license is required.

Meetings

Select the Meetings tab and click Upcoming to view, start, edit, and delete scheduled meetings.

 

You can click the following options after selecting a scheduled meeting in the left-side panel:

  • Refresh icon: Refresh the meeting list if you don't see your scheduled meeting.
  • StartStart the scheduled meeting that you have selected in your upcoming meetings.
  • Copy Invitation: Copy the scheduled meeting's invitation text, allowing you to manually paste it into an email, instant messenger, etc. Click Show Meeting Invitation if you want to view the invitation you're copying.
  • Edit: Edit the meeting options for your scheduled meeting.
  • Delete: Permanently delete your scheduled meeting.
  • Join from a Room: Start the meeting and have a local Zoom Room also connect to the meeting. 

Contacts

Select the Contacts tab to view and manage your contacts.


  • Contacts tab: View a directory of all your contacts, including starred, external, and auto answer contacts. If your organization has Zoom Rooms, you will also see a list of Zoom Rooms.
  • Channels tab: View a directory of your channels (used for group messaging). Starred channels appear at the top of the list.
  • Add icon: Show options for contacts and channels. You can add a contact, create a contact group, create a channel, join a channel, or add an app from our Marketplace.

In-meeting controls

Once you have started or joined a meeting, you can access the meeting controls located at the bottom of the meeting window (move your mouse in the Zoom window to display meeting controls).

Uninstalling Zoom on macOS on version 4.4.53932.0709 and above

  1. Open the Zoom desktop application.
  2. Select Zoom.us at the top of your screen and select Uninstall Zoom.

Select OK to confirm uninstalling the Zoom desktop application and all of its components

 

  1. Once completed, you can reinstall Zoom on our download center.

Uninstalling Zoom on macOS on version 4.4.53909.0617 and below

  1. Open Finder.
  2. Select Go at the top of your screen.
  3. Select Go to Folder...
  4. Once opened, input ~/.Zoomus/
  5. Move ZoomOpener to your trash.
  6. Once completed, repeat steps 3 through 5 for the following folders and files
    1. Folder: /Applications/ Move to Trash: Zoomus.app
    2. Folder: ~/Applications/ Move to Trash: Zoom.us.app
    3. Folder: /System/Library/Extensions/ Move to Trash: ZoomAudioDevice.kext
    4. Folder: ~/Library/Application\ Support/ Move to Trash: Zoom.us
      Note: Zoom may not be installed in both the /Applications and ~/Applications folders.
  7. Once completed, you can reinstall Zoom on our download center.
